Before outsourcing a store's social media operations in Ho Chi Minh City, decide what to delegate, who supplies materials and who approves publication. Agreeing only on post volume will not keep content flowing if photographs or reviews get stuck. Here is how Japanese stores can prepare to communicate with local customers.

Official guidance explains separating permissions

TikTok's official Business Center help describes assigning members and partners permissions for accounts and advertising assets according to their tasks. What a user can do, such as view or edit advertising, depends on the access assigned.

First clarify what the provider will handle. Treat regular posts, advertising and inquiry responses as separate jobs, with appropriate permissions and review processes for each. The following are WIREDREAM VIETNAM's recommendations for stores beginning social media marketing.

List the work task by task

“Please handle all our social media” can leave the two sides imagining different scopes. Separate planning, photography, writing, translation, publication, comment handling, advertising and results reviews, and assign each to the store or provider.

For example, a store might supply product information and photographs, the provider draft posts and Vietnamese copy, and the manager review them. This is an example division of responsibility. Adapt the actual scope to the materials and staff time available at your store.

If advertising is included, distinguish management work, advertising spend and authority to change budgets. Compare the quotation with the agreed scope so tasks assumed to be included in content production do not become unexpected extra charges.

Supply shooting dates and usage conditions with materials

Attractive photographs cannot be used unchanged if they show discontinued products or old prices. Provide the following with your files:

  • Official product or menu names, current prices and available times.
  • When photographs were taken and any differences from the current offer.
  • Permission boundaries for people and places shown.
  • Official wording for the store name, address and reservation contact.
  • Expressions to avoid and explanations requiring advance review.

Keep photographs with product information and identify who updated it to reduce repeated checks. Clearly label the usable version rather than relying on filenames alone.

Check the same conditions in Japanese and Vietnamese

A literal translation will not lead to action if the intended reader and message are unclear. While drafting in Japanese, briefly define the audience, what you want to introduce and what the viewer should do next.

After translation, compare dates, prices, offer conditions and booking methods. If “limited quantity” or “reservation required” appears in only one language, customers receive different guidance. Assign someone to check natural language and someone to verify store facts.

Agree on approval authority and deadlines

Busy stores are more likely to stall when the reviewer is unclear. Name the final approver and a backup, and share the draft delivery date, reply deadline and planned publication date.

Before starting, agree what happens without a reply: postpone publication or proceed only with content covered by prior agreement. Identify information requiring review every time, such as prices, campaign conditions and photographs of people.

Consolidate revisions on the same draft version. Review both languages and the image together so a Japanese revision does not leave an outdated Vietnamese version behind.

Check account access and handover arrangements

The store should know its account administrators and recovery method. Check whether staff can be added using each service's official sharing functions. Grant access appropriate to the role, noting that regular posting and advertising use different functions.

At contract end, check staff access, scheduled posts, unpublished materials, completed files and whether advertising continues. Agreeing on material usage rights and deliverable handover before commissioning helps the transition.

Frequently asked questions

Can we outsource with only a few photographs?

First review usable materials and identify missing product or interior photographs. Before starting, decide whether photography is included or the store must prepare additional images.

Does outsourcing social media include customer inquiries?

That depends on scope. Separate monitoring comments and messages, drafting responses and deciding booking availability. Identify whom to ask about stock or seating that only the store can confirm.

What should we review first?

Alongside responses relevant to your objectives, check whether materials arrived on time, where approvals stalled and whether information needed correction. Improving production workflow provides a basis for ongoing improvement.
